Job Role: Facilities Lead Coordinator

Location: South Molton, North Devon

Salary: Dependent on experience

Job Type: Permanent, Full Time

Job Purpose

To assist in ensuring the whole site to be safe, secure, efficient, clean, well-organised and aligned with all legislative, corporate, and leadership expectations.

Provide effective Facility Management services by supporting the maintenance, H&S and Facilities department to include, but not limited to construction, installation, repair and preventative maintenance.

Key responsibilities:

Supporting a Safety First Culture:

Maintaining a safe and effective work environment by ensuring all Environmental, Health, and Safety issues are addressed considering local regulations and company policy

  • Energy use management, compliance and plans for reduction.
  • Water use management, compliance and plans for reduction.
  • Manage waste segregation, collection and transportation.

Permit & Process Control:

Responsible to ensure policies, procedures, and other documentation are relevant, up to date & followed within sphere of influence, these are to include management of Permit Control where applicable.

  • Ensure compliance with statutory and company requirements at all times.
  • Proactively work on creation & improvement of key Safety Controls, Risk Assessments & supporting documentation including Management of Change (MOC) & ensure signed action completed, effective & on time.

Contractor Management (CM): Management and coordination of external service providers ensuring compliance with business requirements.

  • Ensure completion of all tasks are completed in a safe & timely manner, whilst achieving any quality or cost targets.
  • Monitoring & evaluating all work being performed by outside contractors.
  • Project management
  • Ensuring the correct type of tools and equipment needed to do a job safely, in compliance & efficiently, at all times.

Support periodical reviews with Key Contractors, develop and manage relevant actions.

Total Predictive Maintenance (TPM): Develop & maintain procedures utilizing standard methods & controls, for the safe and effective deployment of TPM across the function.

  • Ensure appropriate training is given to all relevant staff contractors, ensure audit / checks are completed to validate compliance.
  • Ensure preventative maintenance and inspections programs are established and schedules are adhered to.
  • Reports, surveys, assessments, external communications and audits are evaluated, all findings & action plans created, are communicated and closed on time.

Computerized Maintenance Management System (CMMS) Compliance: Ensures required documentation and/or system transactions are executed to meet task history and financial reporting requirements in both an accurate & timely manner.

Coordinates and assists with Manufacturing Initiatives: Liaises with key individuals including team leaders, and local leadership team to ensure departmental and business goals are achieved and recognised.

Experience Required:

  • Proven knowledge of Facility Management activities.
  • Experience in creating and working to Risk Assessments and Method Statements
  • Must be familiar with CDM regulations or willing to undergo training.
  • Competent in determining the type of tools and equipment needed to do a task safely and efficiently.
  • Ability to use computerised systems and basic knowledge of standard software (Word & Excel).
  • Sound administration skills
  • Willingness to hold an out of hours phone

Qualifications required:

  • IOSH Trained or similar
  • Counterbalance Fork-lift Truck licence is advantageous
  • Level 3 certificate FM Practices or to take qualification.
  • Demonstrated ability to function effectively with minimal supervision in a high involvement, team orientated work atmosphere, effectively supporting the work.
  • Expected to be a Site Responsible Person (SRP)
